Basic Objective:
- To ensure complete support for the Bank's operational needs, oversee the implementation of the administration and facilities processes and guidelines.
Primary obligations and duties:
- To ensure that the Bank's procurement activities are in line with its overall strategic objectives, support the development of administration and facilities initiatives;
- Manage the building and renovation projects to increase productivity and to guarantee that the facilities adhere to all applicable environmental, health, and security standards.
- Manage the Bank's fleet, including scheduling, transport allocation, and vehicle maintenance. Ensure that all cars are properly outfitted and maintained before being used by staff.
- Ensure that the building's utilities, such as the water and electricity, are functioning properly and that all problems are fixed to prevent business interruptions;
- oversee the maintenance, emergency, and large and minor repair work on systems and installations;
- Take part in developing and putting into practice workplace, occupational health, and safety policies and procedures.
- Ensure that all office spaces and restrooms are cleaned and kept clean in compliance with applicable requirements;
- Manage the centralized cooling and ventilation systems and installations (including auxiliary equipment) and their maintenance, operation, and upkeep;
- oversee the provision of pest control services to all relevant structures and infrastructure;
- Manage the planning of Bank events to guarantee that every logistical arrangement is thoroughly thought out;
- oversee the organization of office supplies, stationery, and kitchen supplies to ensure that business activities at the bank are efficient and that staff members are comfortable;
- Ensure that all departments retain all files and other documentation in a proper manner;
- Participate in the creation of the facilities and administration budget and keep an eye on usage to guarantee effective use of the resources allotted for the strategy's implementation.
- Examine the facilities and administration reports on a monthly, quarterly, and annual basis. Then, present them to your immediate supervisor for assessment and decision-making before sending them to management.
- Determine training requirements and capability gaps, then suggest appropriate training programs for implementation.
- Review the subordinate's performance with them in accordance with the performance goals
- each year in accordance with management standards and on time.
- Carry out any additional tasks that your immediate supervisor may designate.
SKILLS, KNOWLEDGE, AND EXPERIENCE:
Educational Background and Technical/Functional Skills
- a bachelor's degree in a relevant discipline, such as project management, logistics management, business administration, or another
- A master's degree in business administration or logistics management is preferred.
Experience with Raelevnt (Type of experience and minimum number of years) a minimum of five years' experience working in facilities and administration
